Executive Assistant / Office Manager - Surf Life Saving Northern Region

THE JOB:

Due to a recent transformation and desire to increase its operational effectiveness, Surf Life Saving Northern Region is seeking a high performing, self-starter to join its driven and diverse team. Based in the Auckland office in Mechanics Bay and reporting to the General Manager Corporate Services, the Executive Assistant – Office Manager (EAOM) will provide executive assistance and support to the CEO by assisting in planning, communications, projects and meetings. You will also take ownership of general office management and perform a variety of administration duties, including assisting the Finance Manager with basic data entry.

ABOUT SURF LIFE SAVING NORTHERN REGION:

Surf Life Saving Northern Region (SLSNR) is the primary organization for delivering beach and coastal drowning prevention objectives to millions of people in the upper North Island of New Zealand. This is the largest region in New Zealand with 17 surf clubs based in the area and a membership of over 6,0oo people. Providing a vital community service it delivers lifesaving activity, club development, water safety education, sport and leadership development programmes.

THE CANDIDATE:

Facing an ever changing environment you will be a confident and dynamic person, able to proactively manage a wide range of administrative tasks that arise in the course of business. Your referees will attest to your ability to build strong, collaborative relationships, both across the region and wider national organisation.

Key Responsibilities:

  • Support managers with diary management, travel and meeting coordination
  • Draft internal and external communications as required
  • Develop and maintain external and internal documentation and related materials to a high standard of professionalism
  • Collate and distribute Board papers and other Board communications
  • Co-ordinate and accurately minute board and club delegate meetings including follow-up on action points
  • Liaise and coordinate with club delegates and volunteers
  • Management of office systems and processes.

This is a very rewarding role in an organization that plays a critical role in the safety of New Zealanders’ lives. While the majority of your work will take place during standard business hours you will be expected to attend board meetings that take place in evenings.
