The Company

The Role
Dynes Group is looking for a high-calibre Executive Assistant to support its CEO. The role is based in Dunedin.
This is not a traditional administration role. You will actively manage the CEO’s workflow and communication - creating space for the CEO to focus on the business, not get buried inside it.
You will report directly to the CEO and provide executive support to the Owner/Managing Director as needed. Your responsibilities will include:
- Communications and diary management - owning the CEO's inbox, calendar and priorities, and drafting emails and responses.
- Travel and logistics - coordinating seamless, time-efficient travel for the CEO and providing diary and travel support to the Owner/Managing Director.
- Meetings and events - preparing the CEO for key conversations and meetings, and organising customer visits, lunches, dinners and staff and social functions.
- Relationship tracking - monitoring key stakeholder connections and identifying who needs contact, a visit or an event invitation.
- Confidentiality and technology - handling sensitive commercial, staff and ownership information with discretion, and using Microsoft 365 and AI tools to improve workflow and follow-through.
Customer and stakeholder relationships are a core part of this role. Dynes Group do not want connections left to memory or chance - you will help keep these organised and front of mind for the CEO.
The Ideal Person
We are looking for someone who can become a trusted extension of the CEO - someone with excellent skills, good judgement and who is great with people at all levels – with the proven ability to add value rather than just complete tasks.
You will be calm when things are busy and take a proactive and practical approach to get things done without a fuss. Known for being a trusted member of the team, you will be comfortable dealing with confidential information. Naturally curious, you will embrace technology and AI tools.
While experience as an Executive Assistant is valuable, Dynes Group are open to people who have developed strong organisation, judgement and people skills in other roles such as office management, operations coordination, events, hospitality management, logistics or project coordination.
